Auto Attendant Best Practices: What to Say, What Not to Say, and Why It Matters

Your auto attendant is the first voice most callers hear. Here's how to make it work for your business.

December 15, 2025 · By the Uvoice team

An auto attendant (also called an automated attendant or AA) is the audible menu callers hear when they call your business. It's also the place where most businesses accidentally frustrate their customers.

What a Good Auto Attendant Does

  • Routes callers to the right person or department quickly
  • Offers essential options without overwhelming the caller
  • Provides basic information (hours, location, website) without requiring a live person
  • Handles after-hours calls gracefully

The Rules

Keep it short. Your greeting should be under 15 seconds. Callers have already decided to call you — they don't need a company history.

Limit options to 4-5 maximum. More than five options causes caller confusion and increases hang-ups. If you need more branches, use sub-menus.

Put the most common option first. If 60% of your calls go to the front desk, make that option 1.

Always offer a zero-out option. Callers who need a human should be able to press 0 and reach one. Every time.

Use professional recordings. A professionally recorded greeting costs $50-200 and makes your business sound established. Your receptionist recording on their iPhone at 5pm on a Friday does not.

Update seasonally. Holiday hours, office closures, special announcements — your auto attendant should reflect current reality.

Common Mistakes

"Your call is important to us." If it were, you'd answer it. Skip the platitudes.

Listing every department. "For accounting, press 1. For accounts receivable, press 2. For accounts payable, press 3…" — consolidate. Your callers don't know your org chart.

No zero-out. Forcing callers through a menu with no option to reach a human is the fastest way to lose a customer.

Outdated greetings. If your greeting still mentions your 2023 holiday hours, callers assume nobody's paying attention.

Sample Script

"Thank you for calling [Company Name]. For [most common request], press 1. For [second most common], press 2. For all other inquiries, press 0 or stay on the line and someone will be with you shortly."

That's it. 10 seconds, three options, no fluff.
